Children's Privacy
How DiamondHQ handles information about a player under 13, what is never collected, and the control a parent or guardian keeps at all times.
Effective October 16, 2026
1.Why this notice exists
DiamondHQ is used to run youth baseball and softball teams, so most of the players on a roster are children. This notice explains how information about a player under 13 is handled, and the rights a parent or guardian keeps over it. It sits alongside our Privacy Policy and takes precedence wherever the two differ on children.
We follow the principles of the United States Children's Online Privacy Protection Act (COPPA): collect the least we can, use it only to run the team, never require a child to hand over more than the app needs, and give parents control.
2.A child never signs themselves up
DiamondHQ is not directed at children as a general audience, and a child cannot create an account on their own. A player profile is created by the team's coach or administrator, acting on behalf of the team and with the consent the team has gathered from families.
A player only gets a login if an adult on the team enters their email address and sends them an invitation. For a player under 13, the team must have the verifiable consent of that child's parent or guardian before sending it. A parent may instead hold the login themselves and share the app with their child.
3.What is held about a player
Only what a team needs to field a roster and coach a player:
- Name, jersey number, primary and secondary positions, batting and throwing hand, and graduation year.
- An optional photograph, uploaded by a coach, a parent, or the player once they have their own login.
- Coaching content — scouting notes and evaluation scores recorded by the team's coaches.
- An optional email address, used solely to send the player their own view-only invitation.
- Where a player has a login: messages they send in the team conversations they belong to, calendar RSVPs, and a session record that keeps them signed in.
We do not ask a child for a home address, a telephone number, a date of birth, or their location, and we do not collect them.
4.How it is used, and never used
Information about a player is used to run that team's HQ and nothing else: to show the roster, to share an evaluation with that player's own parent, to deliver the team's messages and schedule.
We do not show advertising to children, we do not use behavioural or targeted advertising at all, we do not build profiles for marketing, and we never sell or rent a child's information. A child's information is disclosed outside the team only to the providers that host the app and process payments, or where the law or a child's safety requires it.
5.Who can see a player's information
Visibility is enforced on our servers, not merely hidden in the interface:
- The team's coaches and administrators see the full roster and every evaluation.
- A parent or guardian with a view-only login sees their own child's profile and evaluations, and no other player's.
- A player with their own login sees their own profile and evaluations, and may change their own photo. They cannot read another player's ratings.
6.A parent's rights
As the parent or guardian of a player under 13 you may, at any time:
- Ask to see everything held about your child.
- Ask for it to be corrected.
- Ask for it to be deleted, and for any login issued to your child to be closed.
- Refuse to allow any further collection or use of it — which will usually mean your child is removed from the team's roster in the app.
Ask your team's coach or owner, who can do all of this directly, or write to us at support@dmndhq.com. We will verify that you are the child's parent or guardian before acting, and we will not make your child's participation in the team conditional on giving us more information than the app needs.
7.How long it is kept
A player's information is held for as long as they are on the team's roster. Removing a player from the roster deletes that player and the evaluations attached to them. Closing a team HQ deletes the whole roster with it.
8.Questions or concerns
If you believe a child's information has been collected without the proper consent, write to support@dmndhq.com and we will look into it and delete anything we should not be holding.
