Terms of Service

The agreement between your team and DiamondHQ: who may use it, what each role may do, how plans are billed, team fees auto pay on the 1st of every month, the platform fee DiamondHQ charges on payments to a team, and the rules everyone on a team signs up to.

Effective October 16, 2026

1.About DiamondHQ

DiamondHQ is a team management platform built for baseball and softball programs, giving coaches, parents and players one shared home for the roster, player evaluations, coach-parent messaging, the defensive playbook, the team calendar and payments. © 2026 DiamondHQ is owned and operated by 6-4-3 Webgemz LLC.

2.Agreeing to these terms

These terms are the agreement between you and DiamondHQ. By creating an account, accepting an invitation to a team, or using the app in any other way, you accept them. If you are accepting on behalf of a club or organisation, you confirm that you are authorised to bind it.

If you do not accept these terms, do not use DiamondHQ.

3.Who may use DiamondHQ

You must be at least 18 to create a team HQ or to hold an owner or admin role. A player or parent under 18 may hold a view-only login only where an adult on that team has invited them, and a player under 13 only with verifiable parental consent as described in our Children's Privacy notice.

You are responsible for everything done under your login. Keep your password to yourself, and tell us promptly if you believe your account has been used without your permission.

4.Teams, roles and who controls the data

Each team HQ is controlled by its owner. The owner and the admins they appoint decide who is invited, what appears on the roster, and what is written about a player.

DiamondHQ provides the software; the team decides what goes into it. If you are a coach or team administrator, you are responsible for having the right to hold the information you enter about players and families, including any consent a parent must give.

Roles carry different access, and that access is enforced on our servers, not merely in the interface:

  • Owner — full control of the team, its plan and its billing.
  • Admin — may edit the roster, schedule, evaluations and team settings.
  • View only — a parent or player, who sees the team's shared pages and their own player.

5.Plans and billing

DiamondHQ runs on three plans, all billed quarterly (every three months), in advance. The Basic plan holds up to 12 players, at $21 per quarter ($7/month). The Elite plan adds build defensive situations access and player evaluations, and a larger roster of up to 18 players, at $30 per quarter ($10/month). The Pro plan adds the interactive depth chart and the lineup builder on top of everything Elite includes, with a roster of up to 30 players, at $42 per quarter ($14/month).

All plans auto-renew for the next quarterly term unless the team owner cancels first. Cancelling takes effect at the end of the current term — there is no deadline before the renewal date, and no email or written request is required.

We will tell you before any renewal is charged at a different price, and you may cancel before that renewal if the new price does not suit you.

If a subscription payment fails or is cancelled, that plan's exclusive features close and the team returns to Basic. Nothing is deleted: the roster, messages and calendar stay exactly where they are, and the features reopen if the subscription is restarted.

Cancellations and refunds are dealt with in our Refund & Cancellation policy.

6.Money collected from families

Where a team collects dues, tournament entry fees or fund contributions through the app, that money is owed to the team, not to DiamondHQ — apart from the DiamondHQ platform fee and Stripe processing fee added to each payment, described below. The team sets the amounts, decides who owes what, and is solely responsible for refunding a family.

Payments are processed by Stripe and are subject to Stripe's own terms. A team that links its own Stripe account is the merchant of record for those payments and carries the obligations that go with it, including tax.

DiamondHQ is not a bank, a payment institution, or a party to the arrangement between a team and a family.

7.Team fees auto pay

Team fees (dues) are collected by automatic recurring payment. When you enrol, you authorise the team, through DiamondHQ and Stripe, to charge the card you provide on the 1st day of every month (or on the 1st day of the month once every three months, where the team collects quarterly) until you cancel.

Nothing is charged when you enrol. Your first payment is charged on the 1st day of the month following the month you enrol, and every later payment on the 1st. Each charge is the team's fee for each player you enrolled, plus the DiamondHQ platform fee and Stripe processing fee described below. The amount and the date of your first charge are shown before you confirm.

You can update your card at any time with the Update payment info button under Team fees on the Payment & Registration page, and cancel at any time with Manage billing on the same page. Cancel before the 1st of the month to avoid that month's charge; a cancellation stops future charges but does not refund a charge already made — refunds of team fees are decided by the team, as set out below.

8.Platform and processing fees

DiamondHQ charges and receives a platform fee on every team fee (dues), tournament registration and team fund contribution transaction processed through the app. The platform fee is a percentage of the amount the team charges, and the current rate is shown on the Payment & Registration page and on every checkout.

Stripe also charges a card processing fee on each of those transactions, currently 2.9% + 30¢ per successful charge for standard US cards.

Both fees are paid by the person making the payment. They are added on top of the amount the team sets, itemised as separate lines before checkout and on the Stripe checkout page, and included in the total charged — so the team receives the full amount it set. Recurring team fees carry the same fees on every charge on the 1st of the month.

Where a team has linked its own Stripe account, the full charge, including the platform fee, is paid into that account; the platform fee belongs to DiamondHQ and the team owner agrees that it is owed to DiamondHQ and will be settled with DiamondHQ. Team owners agree to these fees by collecting payments through DiamondHQ.

Platform fees and Stripe processing fees are non-refundable, except where we decide otherwise or the law requires it — see our Refund & Cancellation policy. We may change the platform fee rate; a new rate applies only to payments started after it is shown in the app.

9.The Referral Rally

Every team is issued a unique referral code. When a brand new team is created with that code entered on the sign-up form, the team the code belongs to scores one Referral Rally point. Points are counted in three-month rallies, and the qualifying team top of the table when a rally closes wins one year free on the Pro plan — 12 months of the Pro plan at no charge.

Taking part is free and no purchase beyond your existing subscription is required. You cannot score on your own code, on a code belonging to another team under the same login, or on a team that has already redeemed one.

The rally is governed by its own document — the Referral Rally Terms — which sets out the qualifying rules, the announcement and claim deadlines, and what happens to an unclaimed prize. Those terms are part of this agreement, and where the two conflict on a point about the rally, the Referral Rally Terms govern.

The Referral Rally is run solely by DiamondHQ. Apple is not a sponsor, co-sponsor or participant of the event, and is in no way involved in administering, endorsing or running it.

10.Acceptable use

DiamondHQ carries messages between coaches, parents and children. Use it accordingly. You agree not to:

  • Post anything abusive, harassing, threatening, hateful, sexually explicit, or otherwise harmful — particularly towards a minor.
  • Upload a photo or video of a child without the right to do so.
  • Impersonate anyone, or try to reach a team, player or conversation you were not invited to.
  • Probe, scan or interfere with the service, or attempt to bypass any access control or plan limit.
  • Use the app to break the law, or to send unsolicited commercial messages.

We may remove content or suspend an account that breaches this section. Where a child's safety is at stake we will act immediately and, where appropriate, involve the authorities.

11.Your content

You keep ownership of everything your team puts into DiamondHQ. You grant us only the licence we need to host it, back it up and display it to the people on your team — nothing more. We do not use your content to advertise, and we do not sell it.

You are responsible for the accuracy of what you record about a player, and for removing anything you no longer have the right to hold.

12.Intellectual property

DiamondHQ — the app, its name, logo, design, text and software — belongs to us or to the people we licence it from. Your subscription buys the right to use it for your team, and nothing else: you may not copy, resell, rent out, reverse engineer or build a competing product from any part of it, and you may not use our name or logo without written permission.

Any feedback or suggestion you send us may be used to improve the service without obligation or payment to you. Feedback is not confidential, and sending it never affects who owns the content your team put into the app — that stays yours, as set out above.

13.Availability and changes to the service

We work to keep DiamondHQ available, but we do not promise uninterrupted service. Maintenance, faults and the failure of a provider we depend on can all interrupt it.

We may add, change or withdraw features. Where a change materially reduces what a paid plan offers, we will tell subscribers in advance and, if you are mid-term, you may cancel for a pro-rata refund of the unused period.

14.Ending the agreement

You may stop using DiamondHQ at any time, and an owner may close their team HQ. We may suspend or close an account that breaches these terms, that is used to harm another person, or where we are required to by law.

When a team HQ is closed, its data is deleted. Export anything you need to keep first.

To delete your own individual login rather than a whole team, open your user settings from the Profile page, scroll to the Danger zone, and select Delete my account. This permanently removes your sign-in credentials and your access to every team. If you own a team, deleting your login does not delete that team — close the team HQ first if you want it gone too. Anything you have already posted to a team stays in place, since it is part of that team's shared history.

15.Disclaimers and liability

DiamondHQ is provided “as is”. To the fullest extent the law allows, we disclaim all implied warranties, including fitness for a particular purpose and uninterrupted or error-free operation.

To the fullest extent the law allows, our total liability to you for any claim connected with the service is limited to the amount you paid us in the twelve months before the claim arose, and we are not liable for indirect or consequential loss. Nothing in these terms excludes liability that cannot lawfully be excluded, including for death or personal injury caused by negligence, or for fraud.

We are not responsible for what a team, coach, parent or player does with the app, or for any dispute between them.

16.Changes, governing law and contact

We may update these terms. The effective date above will change, and where the revision materially affects you we will tell you in the app or by email before it takes effect. Continuing to use DiamondHQ after that date means you accept the revised terms.

These terms are governed by the laws of the United States and of the state in which DiamondHQ is established, without regard to conflict-of-law rules. Disputes are subject to the exclusive jurisdiction of the courts of that state.
